Replaced 7 disconnected tools with one unified logistics platform.
A mid-size logistics company was drowning in spreadsheets and disconnected tools. We built a single platform that unified scheduling, dispatch, driver tracking, and automated routing.
The short version.
A regional logistics company managing 200+ daily shipments was operating across 7 disconnected tools: spreadsheets for scheduling, a standalone GPS tracker, paper-based proof of delivery, WhatsApp for driver communication, and three different legacy systems for invoicing, route planning, and customer management.
We designed and built a unified operations platform through our software product development services that replaced all 7 tools with a single system. Real-time driver tracking, automated route optimization, digital proof of delivery, and integrated invoicing, all in one interface. The result: 91% reduction in manual errors and $480K annual savings.
Operational chaos at scale.
The company had grown from 20 to 200+ daily shipments, but the tooling hadn’t kept up. Every process involved manual data entry across multiple systems, creating bottlenecks and errors at every step:
- Double and triple data entry: the same shipment info entered in scheduling, GPS, and invoicing systems
- No real-time visibility: dispatchers called drivers for status updates, wasting 2+ hours daily
- Route planning by gut feel: no optimization, resulting in 30% more mileage than necessary
- Paper-based proof of delivery: lost documents, disputed deliveries, delayed invoicing
- No analytics: management decisions based on anecdote, not data
The client had evaluated off-the-shelf logistics software but found nothing that matched their specific workflow: a mix of scheduled routes, on-demand pickups, and cross-dock operations.
One platform, every operation.
We built a custom operations platform designed around their actual workflow, not a generic logistics template. The system covers the full lifecycle from order intake to invoice generation:
- Unified dispatch board: drag-and-drop scheduling with real-time driver availability, vehicle capacity, and route constraints
- Automated route optimization: Google OR-Tools integration that factors in time windows, vehicle types, and traffic patterns
- Real-time GPS tracking: live driver positions, ETA calculations, geofence alerts for pickup and delivery zones
- Digital proof of delivery: photo capture, e-signatures, timestamped GPS coordinates, automatic customer notifications
- Integrated invoicing: automatic invoice generation from completed deliveries, synced to their accounting system
- Analytics dashboard: delivery performance, driver utilization, cost per route, customer SLA tracking
Event-driven with real-time sync.
The platform uses an event-driven architecture where every action (shipment created, driver dispatched, delivery completed) triggers a chain of automated processes. WebSocket connections keep the dispatch board and driver apps in perfect sync.
Event-driven with real-time WebSocket sync
The driver mobile app works fully offline, syncing data when connectivity returns. This was critical for rural delivery routes with spotty coverage. Background sync handles 50K+ events daily without data loss.
“We went from managing chaos across 7 different systems to having everything in one place. Our dispatchers save hours every day, drivers actually enjoy using the app, and we finally have real data to make decisions with.”
